Privacy policy

1. Data we collect

• Account and contact data, including name, email, mobile number, role, and login records.
• Player and guardian data, including date of birth, gender, linked minor profiles, sports, plans, attendance, reviews, and tournament participation.
• Academy and staff data, including business details, location, licences, certificates, staff roles, plans, batches, attendance, payments, and settlements.
• Profile photos, academy visuals, tournament and announcement images, and documents you choose to upload.
• Adult account handover data, including invitation, contact-verification, identity-review decision, account-linking, and guardian-access audit records.
• Device, notification token, security, diagnostic, and approximate or precise location data when you grant permission.
• Payment references and transaction status. Full card or UPI credentials are handled by the payment provider, not stored by Sportify.

2. Why we use data

• Create and secure accounts, verify contact details, and provide role-based access.
• Operate discovery, enrollment, payment, attendance, tournament, announcement, review, and support features.
• Show nearby academies when location is enabled and send service or safety notifications you have allowed.
• Prevent fraud, investigate misuse, meet legal and accounting duties, resolve complaints, and improve reliability.

3. Who receives data

We share only the data reasonably needed with the academy, coach, guardian, player, organizer, or staff member involved in the service; with payment, hosting, notification, map, media, analytics, and support providers acting for Sportify; and with authorities or advisers where required by law or to protect rights and safety.

We do not sell personal data. Public profile, academy, tournament, review, or announcement information is visible only as described when you submit or publish it.

4. Children and guardian profiles

A guardian must have legal authority to create and manage a minor’s profile. We use minor data only to provide the requested sports services, protect the account, meet legal duties, and support the guardian’s choices. We do not knowingly use minor data for targeted advertising.

After a linked player reaches 18, Sportify may verify the adult’s email, mobile number, age, and identity to connect their login to the existing profile. On acceptance, guardians lose access to that adult profile while the adult retains its prior Sportify history.

5. Location and device permissions

Location, camera, gallery, and notification access are requested only when a feature needs them. You may deny or later change a permission in device settings. Core account access remains available, but nearby results, photo capture, media selection, or push alerts may not work without the relevant permission.

6. Retention and security

We keep data only for as long as needed for the purposes above, account history, disputes, fraud prevention, backups, and legal, tax, or accounting requirements. Retention periods may differ by record type.

Where identity evidence is requested for an adult account handover, the raw file is restricted to authorized Support review and removed after approval, rejection, cancellation, or expiry. We retain limited review and audit details needed to secure and explain the handover.

We use access controls, encryption in transit, restricted document storage, audit records, and other reasonable safeguards. No system can guarantee absolute security.

7. Your choices and rights

Subject to applicable law, you may ask to access or correct your data, withdraw consent where processing is based on consent, request erasure of data no longer required, raise a grievance, or nominate another person to exercise rights where the law permits.

Withdrawing consent does not invalidate earlier lawful processing and may prevent a requested feature from working. Some records must be retained for legal, safety, payment, or dispute purposes.
